Buying a Business PC? Windows’ Built-In AI Just Changed the Spec Sheet.
AI isn’t an optional extra on a new PC anymore. It’s built into Windows 11 itself, running in the background whether you use it or not. That changes what “good enough” specs actually look like, even for a business that has no interest in AI tools at all.

Two Different Things Both Get Called “AI PC”
It’s worth untangling the marketing here before buying anything. A “Copilot+ PC” is a specific, certified hardware tier. To carry that label, Microsoft requires a dedicated AI chip capable of at least 40 trillion operations per second, 16GB of RAM, and 256GB of storage, currently built around chips like AMD’s Ryzen AI 300 series, Intel’s Core Ultra 200V series, or Qualcomm’s Snapdragon X series. Without that chip, Copilot+ features simply don’t run.
One thing worth flagging inside that chip list: AMD’s and Intel’s options still run the same x86 architecture as every other Windows PC. Qualcomm’s Snapdragon X runs on ARM instead, a genuinely different architecture, and Windows still runs a lot of older x86 software on it through emulation rather than natively. For everyday apps and browsing that mostly goes unnoticed, but it’s not ready for a typical business fleet yet. Plenty of everyday business software, from printer drivers to accounting, POS, and industry-specific line-of-business tools, either doesn’t have a native ARM version yet or runs into problems under emulation. Printers are just one visible example: a number of manufacturers still don’t have native ARM64 print drivers across their full range, and it’s common for a Snapdragon laptop to be unable to find a working driver for an office printer that every other machine on the network prints to without issue. The same gap shows up with all sorts of other software too, so it’s worth checking rather than assuming. Until ARM support is more mature across the board, a Snapdragon-based Copilot+ PC is a riskier pick for a typical business fleet than the AMD or Intel equivalent.
But that’s not the only place AI shows up. A completely ordinary Windows 11 PC, with no special chip at all, still ships with Copilot built into the taskbar and Search. It runs in the cloud rather than on the device, so it doesn’t need the special chip, but it’s there by default either way. Most businesses buying a new PC aren’t really choosing whether to have AI on it. They’re choosing between a machine built to run it efficiently on-device, or one that leans on the cloud instead.
Why Even a “Regular” PC Needs More Than It Used To
This is the part that catches people out. Microsoft’s own engineers have publicly admitted that Windows 11 has become a genuine memory hog, and Copilot is a real part of why. Much of the OS, Copilot included, now runs on embedded web browser components instead of lighter native code. Copilot alone can use close to 1GB of RAM just sitting in the background, compared to under 100MB for the plain version it replaced.
Microsoft has promised optimisation work by the end of 2026, but there’s no fixed timeline yet, and no guarantee it fully resolves the issue even then. For now, the practical result is straightforward: an 8GB machine that used to feel adequate for basic office work is genuinely tight today, and that has nothing to do with whether your business plans to use AI tools at all.
Do You Actually Need a Copilot+ PC?
Not necessarily. If your team’s AI use is mostly drafting emails, summarising documents, or the occasional chatbot question, standard cloud-based Copilot on a well-specced Windows 11 Pro machine covers that perfectly well. Paying the premium for a certified Copilot+ chip makes more sense if your team relies heavily on things like live transcription and translation, image or video generation, or has a genuine reason to keep AI processing on the device rather than in the cloud, such as handling sensitive client data. For most small businesses, the everyday baseline spec matters far more than the AI chip.
Standard Windows 11 PC
Uses cloud-based Copilot. Fine for everyday drafting, summarising, and search. Needs the higher RAM baseline regardless.
Copilot+ PC
Certified AI chip, runs certain features entirely on-device. Worth it for heavy AI use or genuine data privacy needs.
The Baseline Spec Sheet
Whatever you land on, these specs matter more than any AI branding on the box. Treat them as close to non-negotiable, since it’s easy for a “good deal” laptop to fall short on exactly these points.
Processor
Intel Core i5 (11th generation or newer) or AMD Ryzen 5 5000-series, at minimum
Memory (RAM)
16GB minimum. Teams, a browser, Outlook, and antivirus alone can use around 12GB, before Windows’ own Copilot adds close to another 1GB
Storage
512GB solid-state drive minimum. Skip spinning hard drives entirely for business use
Operating System
Windows 11 Pro, not Home. Only Pro includes BitLocker encryption, and only Pro can be joined to Entra ID for proper business device management
Security Chip
TPM 2.0. Required for Windows 11, and for BitLocker’s hardware-based encryption
Ports
USB-C with docking support, so a laptop can run dual monitors at a desk without extra hardware
Good Timing, If You’re Replacing Windows 10 Devices Anyway
Windows 10 no longer receives security updates, so a lot of businesses are already mid-refresh regardless of anything to do with AI. If that’s you, it’s worth using the new baseline above rather than simply replacing old machines with the cheapest equivalent available. The AI question then becomes secondary: buy for genuine day-to-day performance and security first, and treat a Copilot+ chip as an upgrade to consider only if your team’s actual AI use justifies it.
- Don’t buy 8GB RAM for a business machine, regardless of price. It’s no longer enough headroom for Windows 11 alone.
- Only pay the Copilot+ premium if your team has a real, daily use case for on-device AI. Otherwise it’s an upgrade, not a requirement.
- If a Copilot+ PC is Snapdragon-based rather than AMD or Intel, check software and driver support first. Confirm your printers, line-of-business software, and any other everyday tools have proper ARM64 support before buying, not after.
- Insist on Windows 11 Pro, TPM 2.0, and an SSD as baseline, non-negotiable specs on any business purchase.
- If replacing Windows 10 machines, use this as the moment to reset your baseline rather than replacing like-for-like.
